This guide walks you through creating, managing, and awarding bids for open shifts using the Shift Bidding feature on BookJane J360.
1. How to Create a Bid & View Bidding Windows
Steps:
- Click the “Create Shift” or “Create Batch Shift” button.
- Fill in the shift details:
- Position Name
- Shift Date
- Shift Start & End Time
- Unpaid Break Time
- Shift Quantity
- Optional: You can Edit Details to add notes for the shift if needed
- Review the bidding window:
- The bidding window is automatically determined based on how soon the shift is starting.
- For shifts starting soon, the window is shorter; for shifts starting later, it is longer.
- Window settings can be customized through BookJane settings with assistance from your Customer Success Manager
- Confirm the bid.
- Review the Shift Summary and click on “Submit” to make the shift live for booking
2. How to Auto-Extend a Bid
Steps:
- While creating a shift, “Auto-Extend Bid” option is enabled by default.
- If no bids are placed within the initial bidding window, the system will automatically extend the bid.
- Once a bid is received, the auto-extension stops, and the bid will close according to the standard process.
- If you do not wish to give team members extra time to place bids if no one has yet bid on the shift, please turn off the toggle for auto-extend bid before posting the shift.
3. How to Award a Bid
Select the winning bid and assign the shift to the appropriate team member, while reviewing their ranking and employment status.
Steps:
- Go to the Dashboard and open the Recently Created Shifts tab
- Filter Award Shift to see which shifts are ready to be awarded.
- Select the bid you want to award.
- Review the bidders’ ranking and employment status.
- Click “Award” to assign the shift to the chosen team member.
