How do I send shifts to groups of team members?

Note: Only the main (primary) administrator can configure shift distribution rules.

The send shifts to groups of team members feature allows you to better exhaust your most cost-effective resources when filling gaps within your schedule (callout/open shifts). You have the option to either:

Note: Prior to adjusting these settings you will need to set up either custom (static) group(s) or dynamic groups, for more information on how to create custom groups click here, for more information on how to create dynamic groups click here.

 

Send Shifts to Groups of Team Members

1. Begin by navigating to the Settings page. Screenshot

2. Then click on Locations and select the location you would like to adjust the shift rules for (to send shifts to groups of team members).

3. Proceed by selecting the Shift Distribution tab

4. From here click View Details to set up, edit or delete Send shifts to groups of team members rules.

View and/or Edit Default Settings for Position Rules 

1. Click View Details to review default rules for position shift settings

2. To modify these settings click on Edit

3. Adjust settings to your liking and proceed by clicking the Save button

Note: Changes made to the default setting will impact all positions. To set up rules that differ by each of your positions review the directions below. 

 

Setting Up Position Specific Rules for Sending to Groups 

1. Begin by clicking Add Position Screenshoton the rules for sending to groups panel. 

2. Here you will first select the position you would like to apply these shift rules to

3. Proceed by selecting the first group the shift should be distributed to

4. Then click Add Group Screenshotand adjust the wait time (if you would like to allow your first group more time to view and accept the shift prior to sharing it with the next group of team members).

Note: If you wish to temporarily prevent a group of your staff from receiving call out shifts you may select Manual approval to continue. When the manual approval to continue is engaged, your more cost-effective resources can be exhausted (eg. send shifts to casual and part time staff and only if I "continue to call out" send shifts to full time staff, that I may need to pay overtime if they pick the shift up). 5. Select your second group (repeat steps 4 and 5 until you have selected all groups you wish to include).

6. Modify the "Skip wait times for shifts created within 24 hours of the shift start" to adjust when the system is to ignore the applied wait times.

Note: All open shifts that are created following the set up of position-specific rules will be distributed to team members based on the rules created (See Manual Action Required between last PT RN Lurline and first FT RN Marjorie).
