How do I send shifts to agency workers in the scheduling tool?

Optimize your fulfillment by sharing your shifts with  BookJane’s agency workers when your internal pool of team members is unavailable for a shift.

Only published open on-call shifts can be shared with agency team members from the Scheduling module.

1. Hover over the shift you wish to share with agency workers and select More Options (...).

2. Click on Send to Agencies to share the shift with agency workers.

   3. Then select the option you'd like to proceed with on the Send to Agencies page

     a. The send to all agencies option will allow you to specify when you want to send this shift:

Note: the options you see will depend on when the shift takes place in relation to when the shift is being posed (e.g. if the shift you posted is in 72 hours or less you will not see the "72 hours before the shift starts" option).  

    • click Next when you have made your selection, then confirm the shift details before clicking Send.

     b. Or select the Requested agency member option to click Next

    • then select the agency worker you would like to request to fill this shift from the list provided and click Next

    • Then select the Post-Request Options you would like to apply for this shift and click Next

    • Review the summary information before clicking Send

    • Shifts, where you have requested an agency worker, will include "Requested (Agency Shift)" notation on them

When an Agency team member accepts the shift, your Schedule will update accordingly.
